Import Sales Receipts into QuickBooks Desktop

Retail type businesses, often times, use a Point of Sale (POS) system that does not integrate with QuickBooks Desktop (QBDT) and are looking for an easy way to record a daily summary of the sales and payment activity. An easy way to do this is to enter a daily summarized Sales Receipt into QBDT. A detailed article as to how this works can be found on the Long for Success blog.

 

Below is an example showing how to import Sales Receipts that the other system generates into QBDT using Rightworks Transaction Pro Importer.

 

On the first screen of Importer, click the BROWSE button to select the import file. Select SALES RECEIPT as the IMPORT TYPE and click the OPTIONS button to selected any options, if necessary. Select the NEXT button to advance to the next screen.

 

 

On the File Contents screen, it will show the data in the import file in a grid format. Select the NEXT button.

 

 

If  the Importer e-Commerce Feature was enabled, fifteen additional item fields have been added to the mapping screen. Required QuickBooks Fields are depicted in red in the first column (Customer, RefNumber, Item). Refer to the Data Dictionary for a complete list of the fields available on a Sales Receipt import and where these fields reside in QBDT. Additional fields are available if the Options to ENABLE CREDIT CARDS or CUSTOMERS FIELDS was selected.

 

 

If the map does not load, select the LOAD MAP button and navigate where the map file was saved. Select the NEXT button to advance to the next screen of Importer.

 

 

The next screen shows how the data will be mapped to the QB fields. Review this data to make sure that it is mapped correctly. Select the NEXT button to continue.

 

 

On the last screen of Importer, select how any new Items that do not exist in the QBDT company file will be set up by making selections from the drop down menus. Please note that this last screen needs to be completed even if new Items do not exist in the import file. Select the FINISH button to start the import.

There are also many other Options that should be considered, which are highlighted below. All of these Options are discussed in detail in the HELP file that comes installed with Importer. To access the HELP file, select the HELP button on any page within Importer or press the F1 function key on the computer keyboard.
