QUESTION
If importing Sub-Levels for Customers, Vendors, Classes, Items, or Accounts into QuickBooks Desktop (QBDT) using Rightworks Transaction Pro Importer, how do they need to be formatted?
RESOLUTION
Format for Customers
If the Customer import file contains Sub-Customers or Jobs, both the main Customer and the Sub-Customer or Job must be included in the same field, separated by a colon with no space before or after the colon, and mapped to the CUSTOMER field.
Example:
Import File formatted like this: will appear in QB as:
Any time a Customer is used when importing transaction such as Invoices, Sales Receipts, or Journal Entries, the entire Customer Name has to be included in the import file for Sub-Customers or Jobs.
Format for Vendors
The instructions are the same for Vendor with Sub-Vendors as Customers above.
Format for Classes
The instructions are the same for Classes with Sub-Classes as Customers above.
Format for Items
The instructions are the same for Items with Sub-Items as Customers above.
Format for Accounts
If the Account import file contains Sub-Accounts, both the main Account and the Sub-Account must be included in the same field, separated by a column with no space before or after the colon, and mapped to the ACCOUNT field.
Import File formatted like this: will appear in QB as:
Any time Account is used when importing transaction such as Bills, Checks, or Journal Entries, either the lowest Sub-Account Number or the entire Account Name can be used but never both.
